Executive Assistant

Reporting to the Executive and Associate Executive Director, The executive assistant provides senior administration support to the Executive Director, the Associate Executive Director and the Board of Directors and to the One Change/Project Porchlight as a whole.

Responsibilities:

  • Provides administrative support to the Executive and Associate Executive Director, including managing calendars;contracts;facilitation of communication on his/her behalf (letters, memos, reports, emails and telephone), travel arrangments etc.
  • Provides administrative support to the Board of Directors and the Board through the preparation and distribution of meeting notices, agendas, minutes etc.
  • Serves as the Recording Secretary to the Board of Directors.
  • Arranges meetings on behalf of the Executive Director or Board of Directors, handling all necessary logistics.
  • Prepares agendas and materials for internal and external meetings including the Executive meetings and take minutes as required.
  • Collect and prepare briefing material/information for Executive meetings.
  • Receive and screen communications to the Executive Director including telephone calls and email messages, and provides assistance using independent judgement to determine those requiring priority attention; channel and facilitate communication from internal staff.
  • Works collaboratively with all staff members as a team, providing administrative support where necessary.
  • Maintains One Change records and files at the Executive Level, including contracts and legal doucments.
  • Performs other duties, as requested by the Executive and Associate Executive Director.

    Qualifications:

  • Business Administration, or equivalent knowledge/experience
  • Five to eight years of administrative experience preferably in the business sector.
  • Skills:
  • Advanced computer skills (Microsoft Word, Outlook, PowerPoint, high level of proficiency with contact management software)
  • Accurate typing and report dictation skills
  • Sound judgement and ability to maintain strict confidentiality and professional discretion.
  • Ability to work under pressure, meet deadlines and take initative.
  • Ability to prioritize a number of tasks and adapt to change in a flexible manner.
  • Ability to communicate effectively both orally and in writing; fully biligual (English and French) is considered an asset.
  • Administration experience with Boards of Directors and committees an asset.
  • A strong interest in the environment and demonstrated commitment to One Change's goals and values. Only candidates to be interviewed will be contacted.
